Job Description:

Home Instead, an at Home Senior Care company,  is seeking a versatile and detail-oriented Operations Support Coordinator to provide essential customer service, administrative, and logistical support in a fast-paced home care environment. This role ensures smooth operations, maintains client and care provider satisfaction, and supports overall organizational efficiency. The ideal candidate will also be available for care support shifts as needed, demonstrating flexibility and a commitment to client care.

 

Key Responsibilities:

  • Administrative Support
    • Prepare and assemble consultation packets, client binders, and necessary documentation.
    • Manage document lifecycle, including archiving and purging of inactive client records.
    • Create and distribute personalized communications such as birthday and bereavement cards.
    • Perform regular audits of active client lists and required documentation.
    • Assist in preparation for organizational audits.
  • Transportation & Logistics
    • Deliver essential supplies (PPE, documentation) to care providers and clients.
    • Coordinate transportation for non-driving care providers to ensure shift coverage.
    • Conduct quality assurance check-ins related to care provider attendance.
    • Run errands to support both care providers and client engagement.
  • Data Management & Quality Assurance
    • Utilize WellSky software for document filing and data entry.
    • Update client profiles with quality assurance forms and maintain accurate records.
    • Input various notes and data to ensure compliance and continuity of care.
  • Care Support
    • Be available to cover care shifts as needed, providing direct client care.
    • Participate in training to ensure competency in delivering quality care services.

Required Skills & Qualifications:

  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy in data management.
  • Proficiency in WellSky or similar home care software (training provided).
  • Ability to work independently and collaboratively in a team.
  • Valid driver’s license and clean driving record (transportation duties required).
  • Compassionate approach to client and care provider interactions.
  • Flexibility to work varied shifts, including evenings and weekends, when needed.
  • Ability to complete necessary training for direct care support roles.
